Online booking for a personal trainer: sessions and packages
On 6 November 2026 I read Booksy's help on packages and memberships and Slotsy's help on memberships, deposits and online services. I looked at the situation of a personal trainer: works alone, often rents time in a gym, runs some sessions online, and today arranges them in messages. I wanted to know what they need to set up so that a client books a session and buys a package without a message.
Short answer. In Slotsy the client books a 1:1 session on their own in the hours you set for that week, and pays online the full price, a deposit, or with a visit from a membership bought at the first booking. An online session gets a permanent meeting link in every e-mail. The Free plan costs 0 zł for one person, with no booking limit; for online payments 2% plus the Stripe fee (1.5% + 1 zł for an EEA card). In Booksy's help, packages and memberships are sold and settled at checkout in the web/tablet version; the Booksy subscription is 145 zł net per month.
Set up your first week of sessions in 15 minutes: the Free plan costs 0 zł for one person, needs no card and works next to what you use now.
Sessions in hours that change
A trainer's hours often differ from week to week, because they depend on when the gym is free. In Slotsy you set them in Schedules → Week schedule for specific dates. Days you do not touch keep the weekly schedule, and Copy last week saves retyping. So that clients do not book too far ahead, choose from 1 to 12 weeks in Settings → Booking Rules → How far ahead clients can book. Steps: help: week schedule.
A package of sessions (membership)
A membership is a package of visits with an expiry date, paid once; it is not a subscription. You create it in Memberships → Plans → New Plan, where you set Number of visits and Validity (days) from 1 to 730. Validity is counted from the first session, not from the day of purchase.
The client buys the membership together with the first session (that visit is deducted at once) or separately. If you sell packages in person, at the gym, use Memberships → Sell Membership. Example from the help: 8 visits need at least 45 days of validity for someone who comes once a week.
Result: the client has sessions paid in advance, and you do not arrange each one with a separate message. Descriptions: help: membership plans and customer help: buying a membership.
Cancellations
| Who cancels | What happens to the visit |
|---|---|
| Client earlier than the window | the visit returns to the membership |
| Client inside the window, or does not show up | the visit is lost |
| You | the visit always returns |
You set the window in Return a visit when cancelled earlier than: always, 12, 24, 48, 72 hours or 7 days. The default is 24 hours. Details: help: visit return rules.
Deposit for a single session
For a single session without a membership, you set the deposit in the service form, in the payment part, in the Deposit online field. You choose Percent of the price (1–99) or a fixed amount lower than the price. You can also turn on The client may pay it all online instead. The client then sees "Deposit … now" and "The rest, …, at the studio" on the booking page.
When the client cancels in time, the deposit returns to the card automatically. When they do not come and you press Mark as No Show, the deposit stays with you; Slotsy never keeps it on its own, only after your action. When the client pays the rest, you mark Rest received. A membership that covers the service pays the booking in full, so a deposit does not combine with it. A deposit needs Stripe Connect.
In Poland the sum you can keep after a no-show is a deposit (zadatek, art. 394 of the Civil Code), while an advance (zaliczka) always comes back; agree the wording of your own rules with a lawyer. Setup: help: booking deposit, and I wrote about the rule itself in Deposit for a salon visit.
Online sessions
In the service you choose Location Type: In-person, Online or Hybrid. For Online and Hybrid you paste a permanent meeting link into Custom URL, for example Zoom, Google Meet or Whereby. The link is copied into the booking and appears in every booking e-mail; both the client and you see it. Result: you do not send the link by hand before each session. Description: help: online meetings.

Packages in Booksy
In Booksy's help, the articles "How do I set up/sell Packages?" and "How do I set up/sell Memberships?" carry the same line: "applies only to Booksy Biz on web/tablet". Packages are created in Gift Cards & Bundled Services, and "You will be able to sell and redeem packages during Checkout using Booksy Biz on web/tablet". That a client buys a package online when booking, I did not find in Booksy's help.
If you want the client to buy the package on their own at the first booking and the visits to be deducted by themselves, Slotsy does that from day one. If you sell packages in person after a session, Booksy's checkout handles that too.
