This guide covers all booking operations: creating, editing, rescheduling, cancelling, and managing booking details.

Creating a Booking

Follow these steps to create a new booking from the admin panel:

  1. Click New Booking (or click an empty slot in the calendar)
  2. Select a service -- choose from the list of active services
  3. Choose a staff member -- only staff qualified for the selected service are shown
  4. Pick a date and time -- available slots are highlighted, unavailable ones are grayed out
  5. Select a customer -- search for an existing customer or click Add New Customer to create one on the spot
  6. Add notes (optional) -- internal notes visible only to staff
  7. Click Create Booking to confirm

The booking is created with a "confirmed" status by default. If approval mode is enabled, it will be set to "pending" instead.

Tip: You can also create bookings directly from the Calendar View by clicking on any empty time slot.

Walk-in Booking

For customers who arrive without an appointment, click New Booking and toggle Walk-in mode. Select the service and staff member -- date and time default to now. Customer details are optional. Walk-in bookings are marked with a special badge in the calendar and booking list.

Editing a Booking

  1. Open the booking from the calendar or booking list
  2. Click Edit
  3. Change any of the following: date/time, staff member, service, or notes
  4. Click Save Changes

Tip: Toggle on Notify Customer before saving if the customer needs to be informed about changes.

Rescheduling

To move a booking to a different time:

  1. Open the booking details
  2. Click Reschedule
  3. Select a new date and time from available slots
  4. Confirm the change

The customer is automatically notified about the new date and time via email or SMS.

Cancelling a Booking

  1. Open the booking details
  2. Click Cancel Booking
  3. Select a cancellation reason from the list (or type a custom reason)
  4. Choose whether to notify the customer
  5. Click Confirm Cancellation

Cancelled bookings remain in the system for record-keeping but free up the time slot.

Marking No-Show

If a customer does not arrive for their appointment:

  1. Open the booking details
  2. Click Mark as No-Show
  3. Confirm the action

No-show bookings are tracked in customer history and shown in reports.

Booking Details Panel

Click on any booking to open the details panel with the following information:
