The Calendar is your visual command center for managing all bookings.
Overview
The calendar shows all bookings as colored blocks on a timeline. You can switch between day, week, and month views. A status color legend is displayed below the toolbar for quick reference.
Views
Agenda
The week as a list rather than a grid. Each booking shows its start and end time, the customer's name, the service, the room, the staff member and its status. Days with no bookings are named rather than skipped, so an empty day cannot be mistaken for one that failed to load.
On a phone this is the default, and the week grid is not offered at all. Not because it is cramped: a day column on a 390 px screen is about 47 px, and when three people are booked into the same hour each gets roughly 15 px. That is a stripe, not a booking — unreadable, and impossible to tap.
Tip: the agenda does not show where your gaps are — the day view beside it has the timeline for that.
Day View
Shows a detailed timeline of all bookings for a single day:
- Each column = one staff member
- Each block = one booking
- Color coding by status (see table below)
How to use:
- Select a date using the date picker
- See all bookings for that day across all staff
- Click on an empty slot to quick-create a booking (pre-fills date, time, and staff)
- Click on an existing booking to see details
- Drag a booking to a different time or staff column to reschedule
Week View
Shows 7 days side by side with all bookings:
- Use the < > arrows to navigate between weeks
- Click on any empty slot to create a booking at that time
- Drag bookings to a different time or day to reschedule
Bookings at the Same Time
Group classes and shared time slots put several bookings on the same hour. In Day and Week views they are drawn side by side inside the column:
- Up to 3 bookings share the column and stay readable
- Beyond that, the rest collapse into a "+N" chip next to them
- The chip covers the whole busy stretch — click it to open the full list of that time slot, sorted by start time, with a Details link per booking
Tip: The chip lists every booking of that slot, including the three already drawn — so you never have to read half the group on the grid and half in the list.
Month View
Shows an overview of the entire month:
- Each day shows up to 3 booking pills with "+N more" for overflow
- Click on a day number to switch to day view
- Drag a booking pill to a different day to reschedule (time stays the same)
Drag & Drop Rescheduling
Quickly reschedule bookings by dragging them on the calendar:
- Click and hold a booking block (must be Pending or Confirmed)
- Drag it to a new time slot (Week/Day) or a different day (Month)
- Release — a toast notification confirms the reschedule
Tip: Only pending and confirmed bookings can be dragged. Completed, cancelled, and no-show bookings cannot be rescheduled.
What Is Bookable
Hours that cannot normally be booked are shaded with a light diagonal hatch. What counts as bookable depends on which filters are set:
| Filters | Shaded hours |
|---|---|
| None | Outside your company's opening hours, and days you are closed |
| Staff selected | Also their days off, leave, and hours outside their shifts |
| Service selected | Also the hours that service is not offered |
A gap inside an open day — a lunch break, or the hours between two classes — is shaded too.
With All services selected there is nothing to narrow to, because each service can have its own hours. The calendar says so under the legend and shades by company hours only. Pick a service to see when it actually runs; a class that runs one hour a week looks very different from your opening times.
Tip: A booking with an amber edge sits outside the schedule — it was created at a time customers could not have picked themselves. Filter by service to see which ones.
Quick Create from Calendar
Click on any empty time slot to instantly open the booking creation form:
- Date and time are pre-filled based on where you clicked
- In Day View, the staff member is also pre-filled from the column
- Fill in customer, service, and duration, then click Create
Booking outside the schedule
Shaded hours are still clickable. The form opens with a note saying why the slot is unusual — the company is closed, the staff member is on leave, the service is not offered then — and when the service does run that day.
You can create the booking anyway. Walk-ins and favours to regulars are normal, and the calendar does not stand in the way.
If the slot should be bookable, the note links to the schedule that closes it. Adding the hour there makes it bookable for customers too, which is usually what you actually want.
Booking Status Colors
| Color | Status | Description |
|---|---|---|
| Yellow | Pending | Awaiting action |
| Purple | Pending Payment | Waiting for payment |
| Orange | Pending Approval | Requires admin approval |
| Blue | Confirmed | Booking is confirmed and active |
| Green | Completed | Service has been delivered |
| Gray | Cancelled | Booking was cancelled |
| Red | No-show | Customer didn't arrive |
Booking Details & Activity Log
Click any booking to open the detail modal with three tabs:
- Booking — service, staff, time, notes, status actions
- Client — customer info, visit history
- History — full activity log timeline showing all changes (created, confirmed, rescheduled, edited, etc.)
Filters
| Filter | Description |
|---|---|
| Status | Tick any number of statuses — opens on Confirmed and Pending Approval |
| Staff | Show bookings for specific staff member(s) |
| Service | Show bookings for specific service(s) |
| Location | Filter by location (multi-location businesses) |
| Room | Filter by room within a location |
The calendar opens on Confirmed and Pending Approval — what is going to happen, and what is waiting on you. The status filter is a list of tickboxes, so you can watch any combination at once: tick Completed to see finished visits, Cancelled to review cancellations. All statuses clears the ticks and shows everything again.
Note: Because Completed is not ticked by default, past days look empty once their bookings are marked completed. Tick Completed (or All statuses) when you are looking back rather than ahead.
Tip: Filters work across all three views (Day, Week, Month). Staff and Service also narrow the shading, so picking one shows you what is bookable for that person or service.
