Schedule exceptions let you define days when a staff member's regular schedule does not apply — vacations, sick days, public holidays, or special working hours.

Overview

An exception overrides the normal schedule for specific dates. There are two types:

Exceptions take the highest priority — they override both company hours and individual staff schedules.

Creating an Exception

  1. Go to Staff and click on a staff member
  2. Open the Exceptions tab
  3. Click + Add Exception
  4. Fill in the details:
    • Date — select a single date or a date range
    • Type — choose Day Off or Custom Hours
    • If Custom Hours: set the Start Time and End Time
    • Reason (optional) — add a note like "Annual leave" or "Team building"
  5. Click Save

Tip: Use the date range picker for multi-day vacations instead of creating separate exceptions for each day.

Common Use Cases

Vacation

  1. Click + Add Exception
  2. Select the date range (e.g., March 10 - March 21)
  3. Choose Day Off
  4. Add reason: "Annual vacation"
  5. Save

Sick Day

  1. Click + Add Exception
  2. Select today's date
  3. Choose Day Off
  4. Add reason: "Sick leave"
  5. Save

Public Holiday

  1. Click + Add Exception
  2. Select the holiday date
  3. Choose Day Off
  4. Add reason: "Public holiday — Independence Day"
  5. Save

Special Event (Modified Hours)

  1. Click + Add Exception
  2. Select the event date
  3. Choose Custom Hours
  4. Set hours: 10:00 - 14:00
  5. Add reason: "Company event — short day"
  6. Save

Recurring vs One-Time Exceptions

By default, exceptions are one-time events. For recurring patterns:

  • Annual holidays — use the Bulk Add Holidays feature (see below)
  • Regular day off — modify the weekly schedule instead (see Staff Schedules)
  • Monthly events — create individual exceptions as needed

Effect on Customer Booking

When an exception is active:

  • Day Off: the staff member does not appear in available time slots for that date
  • Custom Hours: only the exception hours are shown as available
  • Existing bookings on exception dates are not automatically cancelled — you will see a warning to reschedule them

Tip: Create exceptions in advance so customers cannot book during those times. If you add an exception after bookings have been made, review the affected bookings and reschedule them.

Viewing Exceptions on Calendar

Exceptions appear on the calendar with distinct styling:

  • Day Off — the day is grayed out with a diagonal stripe pattern
  • Custom Hours — the available window is highlighted, unavailable time is dimmed
  • Hover over an exception block to see the reason

Bulk Add Holidays

To add public holidays for the entire team at once:

  1. Go to Settings > Holidays
  2. Click + Add Holidays
  3. Select your country to load the official holiday list
  4. Check the holidays you want to apply
  5. Choose which staff members to apply them to (or select all)
  6. Click Apply

This creates a Day Off exception for each selected staff member on each selected holiday.
